Max Estates was migrating from its legacy system Zoho and required a stable transition without disrupting ongoing performance cycles. More importantly, the organization needed a highly customizable performance framework aligned to its structured rating philosophy, governance standards, and end-to-end lifecycle requirements — from goal alignment to increment letter issuance.
Max Estates now operates on a performance system that is structured, transparent, mathematically precise, and governance-aligned.
What began as a migration evolved into a deeply customized performance architecture built around clarity, control, and calibration.
Founded in 2016, Max Estates Limited is the real estate arm of the Max Group, guided by the Group’s core values of Sevabhav, Excellence, and Credibility. The company develops premium residential and commercial spaces with a strong focus on design excellence, sustainability, and customer-centricity. Backed by experienced engineers, architects, planners, and specialists — along with collaborations with global leaders in master planning, landscape, and sustainability — Max Estates is committed to delivering thoughtfully designed environments that elevate lifestyle and workplace experiences.
Rather than implementing a standard performance module, Klimb worked closely with Max Estates to architect a system tailored to their internal logic and evaluation depth.
The framework was built with absolute weightage of KPIs within a KRA, ensuring performance contribution was mathematically structured and transparent.
Competencies were allocated to employees based on defined levels, enabling role-based differentiation rather than uniform assessment.
Development Plans were designed as co-created journeys between employees and managers, reinforcing shared ownership in growth planning.
Max Estates required a distinct rating structure where 1 is highest and 5 is lowest, along with support for decimal KPI ratings such as 3.2. A slider-based interface was implemented to simplify evaluation while maintaining scoring precision.
To eliminate ambiguity:
These refinements ensured clarity at every stage of evaluation.
A core enhancement was real-time score display. Goals Rating, Competencies Rating, and Overall Rating dynamically update while assessments are being filled.
Managers can view self-assessment scores from team members and see their own consolidated total score before submission.
Importantly, the same rating breakup is reflected in reports, ensuring alignment between evaluation view and leadership analytics.
To strengthen structural governance, tenure-based eligibility was defined within promotion workflows. This ensured that advancement decisions followed policy-based criteria rather than manual tracking.
The performance cycle was completed through integrated increment letter implementation. Compensation data can be uploaded, increment percentages configured, and appraisal letters generated in the required format — enabling seamless transition from evaluation to communication.
With a robust and governance-ready performance foundation in place, Max Estates is now preparing to integrate AI-powered Goal Alignment into its upcoming performance cycle.
The next phase will leverage Klimb’s AI capabilities to:
In addition, deeper analytics layers can further enhance leadership decision-making by:
By embedding AI into an already structured framework, Max Estates moves from operational performance management to intelligent performance strategy — where alignment, calibration, and growth decisions are data-assisted rather than manually driven.
